I am looking for tips or information on how to manage a collection of old magic and ephemera etc. In terms searcable soft where to use to organize data. The best way to number items and divide them into catagories etc. Basically I am fairly new at collecting and want to start out right in terms of cataloging it. Any help would be great. Thanks to all in advance.

First, send all the cups and balls sets to me. That will cut down on your work.
Seriously, you should be able to use just about any database software to do it. You can categorise the pieces into things like Books Close-up Parlor Stage Illusions And you can subdivide those into categories. There is a great book you should have by Leo Behnke called The Conservation of Magic. He discusses this topic in great detail. H&R Magic books has a copy of it.
