I was wondering what some of you might do in this situation:
At my restaurant I recently met a well known face in the tech industry, as well as his wife who owns a venue that hosts large parties to affluent clients in town. They were thrilled with my magic, and wanted me to do an upcoming birthday (this Thursday) for a family member. The problem is that their personal assistant is handling the show, and has been very bad at returning calls and getting accurate information on the party. I don't even know if it is still happening, and it's there days away. Obviously the pay would be nice, but Im more interested in keeping up the relationship because they own the venue that could use entertainment, and for the photo opportunity with this CEO. It was supposed to be at their house. Would you still show up? It's only a few minutes away and wouldn't be the end of the world if it wasn't happening. But, it would be bad if they were expecting me, assuming their assistant had given me my deposit and contract. |

If you have their phone number or email call them directly.
I've ran into this problem a few times before and the gig always ended up being confirmed very last minute. I'd say if no deposit or confirmation is received keep the date open on your calendar and if a new gig comes up book it. But, do the best you can to get this gig confirmed. Josh

You can mention that the client contacted you. this is not a sales call. You are responding to a personal invite.
Then get personal and ask if the assistant will be at the party too, and it will be nice meeting them. Now.... Do you know what time I'm supposed to start? No?. Would you please find out and call me back in 10 minutes because I have to plan my schedule. Then you call the assistant every hour and be the squeeky wheel but reminding them that you just need the address and time.

If you don't have a deposit and/or a written confirmation, then you haven't got a booking.
Sometimes, people just can't (or won't) make a decision. Sometimes, they change their minds and can't bring themselves to tell you. You may want to call the assistant one last time and say you need everything nailed down by, say, noon Tuesday so you can plan for that day. You can still be pleasant about it and not burn any bridges. If it works out, great! If not, you can still follow up and hopefully book something down the line. Update: The assistant finally emailed me back to say she no longer works for them and that she forwarded my email to the family. Probably not going to happen.

How long ago did they see you at the restaurant? If it was a while ago, that would sound like more of a long shot than if they recently saw you perform. Personallly, I would do whateveer it takes to find out their true interest and not make any assumptions.

I'd contact the client directly and "follow up" with them to see if they would still like you to entertain. You can say you wanted to make sure that nothing would be missed now that their assistant is no longer with them and you just wanted to make sure nothing fell through the cracks. Nothing wrong with that. They previously spoke with you about it anyway and you're just following up as the date draws near.

I saw them maybe two months ago. Two things: the client apparently tried messaging me on Facebook (to tell me they wanted me but that her assistant would plan it). But, since we weren't friends it went to the dreaded "other" folder of the message inbox (the one that you probably don't know exists).
That is my only way of contacting them as it's the only direct form of communication I have with them. Otherwise, they don't seem like the kind of people who plan these sorts of things for themselves lol. I've messaged back but no response, and she hasn't seen the messages either |

Always get complete correct direct contact information.

It sounds like either the assistant was terrible at the job and got canned (this seems most likely) or was already looking for another job and couldn't be bothered with making sure everything was nailed down for the party.
Hopefully you can reconnect with your prospects. Joe L. Quote: On 2013-07-09 07:48, Close.Up.Dave wrote:

If the house is a few minutes away, go knock on the door with the contract and if they are not home, just leave it at the front door with your contact information; if they answer the door hand it to them and ask that they call you after they review it and sign it.
