I recently did a school show, with around 200 kids, plus parents. I gave away a amgic kit in a drawing.
I now have 200 names and addresses, along with the kids birthday. What is the best way to market to these families for a birthday party? |

Did you ask for the date of birth for the kids?
If you did, obviously timing is the key here, mailing them a letter / leaflet/ etc at least two months before the birthday!! Stu Di Doo |

Send them a coupon for 10 off your show and add them to your newsletter group.
Nothing of the same will bring any change, take action today!

On the magic kit drawing entry forms, did you get SIGNED permission from an adult on each form to mail to the child, or do you have the parent's names as well?
In most places, it is illegal to mail to children, without a parent's written permission. If you are mailing to the parents, and they gave you their contact information, then that's a different story. Naturally, you don't market your birthday shows to children, you market them to the parents. You can use a birthday show sales letter or a birthday show brochure with a cover letter. Just don't send a brochure by itself. - Donald.

What an excellent idea. Of course using the parent's info to send out the letter.
My marketing has been lousy. Thanks to Donald, I now have a good ad in a kids magazine but this month, they printed my phone number blurry. I have 3 gigs total this month which is good but no further bookings or calls. I have a day care gig and may use your idea.

You could always address the envelopes "To the parent/s/guardian/s of"...
Mind you, I don't think I'd like to receive that in the mail unless it was well done like "A thank you to the parent/s/guardian/s of"... with a discount voucher.

Now that we have a little more info, you can do what I recommended in my post, and also blend that with Bill's advice (he's Flourish Dude) and Kevin's advice (he's Whiterabbit). Send the parent an immediate letter/note, saying "Thank you for entering. I am sorry that you didn't win first prize of the magic kit. I would like to give you a runner-up prize of this $10 birthday show discount certificate." (And enclose the coupon/certificate). Do this to all 200 immediately. Put an expiry date on the coupon, of 12 months from now, but also a comment that they "must book early, because all dates are first come, first served." BTW, mothers love coupons, and will use them. Be sure to put your phone number on both the coupon and the cover letter/thank you card, in case the two pieces become separated. Then, two months before their child's party, write to the parents again, sending a birthday brochure along with a cover letter, offering your birthday show. Or just a well written birthday sales letter, without the brochure, that does the same thing. Do not send the coupon again, or even mention it at this time. Just offer your show for regular price (you may choose to include your rates in the letter or not). They have to find their coupon to use it (make them work for their $10). They will still book you at your regular price... they have seen your show live and loved it! You might need to send a second mailing with a reminder to book early, about 4-6 weeks before the child's birthday. This one could even be a simple postcard. Be sure each of your marketing mailings includes contact information (on every piece), a call to action, and also references from other happy parents. This will increase your response. I hope that this idea helps you. That is certainly one way to do it.
I believe that in this case he knows the parent's first names. I think that is what he meant by his comment: Quote:

Why put "The Smith Family" if you could have put "John and Mary Smith"? So, try to get those parent's names in the first place. It's my opinion that you should always try to get a contact person's first and last name for a mailing, before you do it, especially if you are only mailing to only 200 contacts. So, make sure you ask that information on the draw form. I would handle this selling sequence by mail only, don't call them at home. Your mailings should get them to call you. Just some further thoughts. - Donald.

Do you really think it worth this exercise? Don't you feel you'd probably get about 6 or 8 assorted birthdays over a year and then they would start "looking for a change"? We are not too far from you geographically (although do not cover your area). We find that even though there are two of us working separately there comes a time when naturally folks will start looking around for something different. If I were working from Flint on the North Wales/England border I'd be into marketing parties through Yellow Pages and repeats/recommendations from Caernarfon to Chester to The Wirral.
(watch our friend turn out to be from a Flint in Zimbabwe or somewhere now!!) |

I think that Emazdad and Philip will have some great things to say about going to lots and lots of birthdays within the same circle of friends. You become like a favorite TV show or video, that they want to watch again and again. If your show is right, they don't tire of you. And of course, you might already offer alternate shows (I do in some cases).
- Donald. P.S. Also remember that those mailings can result in other shows besides birthdays. If you offer school shows, event shows, church shows, holiday party shows, etc. You might wish to asually mention that as well.

There you are, I had a hunch I was not talking to Flint in Flintshire which is the furthest point north in Wales Mike, and just a few miles out of Chester. In actual fact this marketing opportunity may actually work around Michegan, who knows? People are possibly more 'folksy' in the States and may accept you into an area or community as being THE children's entertainer. But I find that whatever you do, how ever much you try and change programmes, - if there are similar alternatives to yourself - then people will look for something different. This is not a reflection upon yourself, it is just human nature. GM drivers try a Ford, BMW drivers try a Merc. or Lexus. People try new places for their holidays (vacation) even though they may have had a fabulous time . . . (no, I definitely don't cover your area!!)

I just contacted the kids mag rep and he is working with me. I've had maybe 3 calls total in 3 months paying $25 a month for the ad. Called Yellow Pages today, One liner $30 a month, bolded letters: $43. Aug deadline. Books go out in Nov, 04 all throughout the surrounding area as well as San Antonio. Magic store owner told me yesterday the Y pages are the way to go. Seriously considering it now. Any ideas of a one line ad appreciated. It should go under party planning section. I'M thinking: BIRTHDAY PARTY MAGIC SHOW then tel #. Once the ad goes in, its done for a year.

Not sure how it is "Down aroun' San Antone" but in my area magicians are usually found under entertainment (though at present there is only one listing that includes magicians among their other party entertainment provisions). Depending on what you intend to spend for marketing for the year, it might be worth having your number listed under both headings. Those people who look first under the one heading might find you are the only one (bonus!), but if they look under entertainers first then at least you'll still be represented Just a thought anyhoo...
